Privacy Policy

Working with a student means holding information about them, much of it about a minor. This page explains what TKO Prep LLC collects, why, and what we do with it.

What We Collect

The information we hold

Information you give us

  • Contact details for the student and for a parent or guardian: name, email address, and phone number.
  • Information from our intake form about the student’s goals and situation: which test they are preparing for, target score and test date, prior test results, high school, graduation year, GPA, curriculum, city and state, and any testing accommodations you tell us about.
  • Anything else you choose to send us by email, by phone, or during a session.

Information created while working with us

  • Diagnostic and practice test results, question-level answers, and score history.
  • Session notes, worksheets, assignments, and the work students upload to the student portal.
  • Audio recordings of sessions and the transcripts, session notes, and parent recaps produced from them. Sessions are recorded in audio only; there is no video recording. Consent to audio recording is part of the tutoring agreement a parent or guardian signs, and you can ask us to stop recording or to delete a recording at any time.
  • Billing records, including which package was purchased and when. Card numbers are handled by our payment processor and never reach our systems.

Information collected automatically

  • Standard web analytics through Google Analytics, which uses cookies to record things like which pages were viewed and roughly where the visit came from.
  • Sign-in cookies that keep a student or parent logged in to the student portal.

How We Use It

Running the program

  • To respond to inquiries and set up a program.
  • To build and adjust a student’s tutoring plan, and to produce their worksheets, session notes, and progress reports.
  • To send recaps, assignments, scheduling messages, and reminders to students and parents.
  • To process payments and keep billing records.
  • To understand how the website is used so we can improve it.

Sharing

Who else sees it

  • We do not sell personal information, and we do not share it for advertising.
  • We use a small set of service providers to run the business: website hosting, our database, our payment processor for card and bank payments, Google Workspace for email, calendars, and file storage, and Google Analytics for website measurement. Each of these handles information only to provide that service to us.
  • Tutors working with TKO Prep see the information they need for the students they teach.
  • We may disclose information if we are legally required to, or to protect the safety of a student or another person.

Students Under 18

Parents stay in the loop

Most TKO Prep students are high school students under 18. Programs are arranged by a parent or guardian, and a parent or guardian may ask at any time to see what we hold about their student, to correct it, or to have it deleted.

TKO Prep's services are not directed to children under 13, and we do not knowingly enroll a student under 13 without a parent or guardian arranging the program. If you believe we hold information about a child that should not be there, email info@tkoprep.com and we will remove it.

Your Choices

Access, correction, and deletion

  • You can ask us what information we hold about your student, ask us to correct it, or ask us to delete it. Email info@tkoprep.com and we will respond.
  • You can ask us to stop sending non-essential email at any time. We will still send messages needed to run an active program, such as scheduling and billing.
  • Most browsers let you block or delete cookies. Blocking sign-in cookies will prevent the student portal from working.

How long we keep information

We keep student records for as long as a family is working with us, and afterward for as long as they are useful for a student returning to us or needed for our business and tax records. You can ask us to delete a student's records sooner.

Security

Student records live in access-controlled systems, and the student portal requires a sign-in. No system is perfect, and we do not claim otherwise, but we limit who can see student information to the people who need it to do the work.

Changes to this policy

If this policy changes, we will update this page and the date at the top. Material changes affecting current families will also be sent by email.
